We are planning the event of sport day celebration in our organization for involving the employees in sports activities and enjoyments in work place.

The group/teams needed for this program is as below

  • Team 1 -Sports readiness: for sport rule and ground readiness for cricket, football, volleyball, tennis and badminton sports in the organization ground.Volunteers needed: 10 people needed for this team as 2 per each game.
  • Team 2- Food Arrangements: The team will be arranging the food, breakfast, snacks etc for all the employees in the organization on sports day.Volunteers needed: 5 people needed for this team, as they will be engaged in organizing all the eating material for the day with contractors.
  • Team 3 – Prize Organization: Team responsible for prize purchasing and distribution after sports completion. Volunteers needed: 3 people needed for prize team.
  • Team 4 – Sport organizing: this team will be responsible for sports organizing and execution of sports on the day. Volunteers needed: 15 people needed for this team, as they will be engaged in organizing all the sports matches on the day. 3 people /sport.

Communication with these teams as below : We want to have effective communication with team so that we can organize the sport day even successfully and without any issue in the organization.

We want to have the following communication plan as below

  • We will have daily communication with the team for the preparation of the event for five days.
  • Direct meeting and email communication will be used for all occasions.
  • First day – email communication for the whole program to all employees along with team volunteers.
  • First meeting – Detail communication and update on the event and role of each team members and target date for their activities.
  • Second meeting- Review and update on the action items and issue resolution.
  • Third meeting- Again review and update on the action items and issue resolution.
  • Fourth meeting- Review the readiness for each sport in the organization on one day before the event.
  • Final Communication of the day plan to all employees.
