Administrative closure in project management is done at end of every activity during any sequence of project and also done at the end of the whole project respectively. It is done by organising documents . Documenting the effectiveness & , assessing the formal acceptance, evaluating results and archiving .

Administrative closure consists of verifying and documenting project results to formalize acceptance of the product of the project by the sponsor, client, or customer. It includes collection of project records, ensuring that they reflect final specifications, analysis of project success and effectiveness, and archiving such information for future use.Administrative closure activities should not be delayed until project completion.Each phase of the project should be properly closed to ensure that important and usefulinformation is not lost.(A guide to project management body of knowlegde .PMBOK 2000 edition page num. 125-126)

Steps involved are

  • Documentation and verification of requirements of the project
  • Analyse the formal acceptance by sponsor
  • Organise and archive the documents to be submitted to the sponsor
  • Plan to establish the project sources like resources, equipments ,team members, etc
  • Plan a performance reporting on the project
  • Any project-specific or program-wide historical databases pertinent to the project should be updated.
  • Close all the accounts having access to the project
  • Lessons learned should be documented
