You are taking Technical Communication subject this semester and you are given a group assignment. Your team are required to write a proposal related to the current issue in education. Your group leader conducted a meeting to discuss on how your team are going to divide the work scope and write this proposal. As a secretary for your team, construct a meeting of minutes (MOM) to record the output of the meeting.
MOM is always helpful past the Meeting on hand, it can be used to get a picture of the basic agenda of the meeting, as a review for the decisions that were made, to keep a track of tasks that were assigned to individuals, as a mode of summary about the meeting to the people who were absent. MOM is most effective when the publisher takes notes as the meeting happens, by having a good structure to the MOM, by publishing it quickly after the meeting and by making sure that everything has been addressed through the MOM.
The basic structure of a MOM:
Date:
Attendees:
Room, Start and End time of the meetings:
Main Objective of the meeting:
Reviews, discussions, agreements &disagreements, ideas:
Decisions made:
Task priorities and individual assignments and their due dates:
To attach any necessary information such as files, graphs, images and web addresses that were discussed:
Approval and publishing the MOM. A reminder of the date and time of the next proposed meeting.
In the given scenario of the current issues in education, the group can come to an understanding of the competencies, efficiencies, programs, impediments in the education system in general. A group acceptance of the issue to be addressed that could bring positive impact in the education system. Study of the previous issues and their solutions, impact of the solutions, adherence to the solutions in longterm to note the continuous progress if any. Task distribution within the team based on individual capabilities and strengths, resource availability and task prioritization for a meaningful approach to the proposal. Adherence to the issues noted, making sure any deviance is addressed by discussing the impact on the project.
