Delivering negative news involves a buffer or cushion statement, an explanation, the negative news itself, and a redirecting statement. Whether you choose a direct or an indirect approach, the message should be delivered clearly and concisely, with respect for the receiver and the organization.
Q1. (Please answer) When should you use an indirect approach in delivering a negative news message? Explain your answer clearly.
Q3. Consider the following scenarios and complete the short exercise associated with them...
(a)Sales have decreased for two consecutive quarters at your business. You have been instructed by senior leaders to inform your sales team that their hours, and base pay, will be reduced by 20 percent. While you may have a few members of your sales team that are underperforming, you want to retain the entire team. Write a negative news message (in appropriate memo format to your sales team) in a direct or indirect approach informing your sales team of the news.
(b)You have observed and documented an employee being late and taking long breaks for the past two weeks. This employee has been a good employee for many years but seems to have issues recently... Following best practices from the theory, write out a summary of the conversation you need to have with the employee. (You may answer by role-playing the components of your “plan”).
Ans1 Indirect approach in delivering a negative news message when your message may cause doubt, resistance or you do not know how it will be received by the other person. Indirect approach should be used when you deliver news through verbal or written method. It can be difficult to use for a complex message that will be read on a mobile device, because mobile messages best interpreted when they are short, simple and direct. Most bad news messages will be better accepted by readers if employer uses the indirect approach.

Subject: For conveying news related to hours and base pay
We from the management regret to inform you that due to decrease in sales for two consecutive quarters, management decided to reduce your hours and base pay by 20%. We find this action necessary for us to cut costs, and we think that taking this step is far better than terminating several underperforming employees.
Trust that this situation is only temporary. Your continued excellent work shall surely allow our company to recover from current situation very soon.
Sincerely
Sales manger
Ans(b) In this situation manger should call the employee in private for discussion and ask him the reason of being late and taking breaks continuously for two weeks.
Manager: Hello XYZ, come and sit I would like to know that there is any problem which you are facing now these days because you are continuously being late for job and taking so many breaks in past two weeks.
XYZ: Yes sir, one of my family members is not well and I have to go to hospital daily to check on him.
Manager: You are a good employee for many years, so I would like to give you my personal advice do not worry everything will be fine, your 20 yearly leaves are pending take them and take care of your family member and come again with a energetic and fresh mind like you were always.
XYZ: Thank you sir, pleasure to talking to you sir.
Retaining good employees is very important for an organization and because of some personal problems one employee is not performing well, so it is the responsibility of manager to ask him or her and find optimum solution for employee and an organization.
"If you like my answer please give thumbs up, thank you".
