            is so structured

Solutions

Expert Solution

Here are the components that most bad-news messages consist of & the reason this message is structured:

  • The opening is the first component - This is where the interaction with the audiences happens. The audience profile can be a single customer, team member, customers and at large the general public as well.
  • The opening message has a purpose of explaining the cause of the communication.
  • The second component is the message itself - Here in this component, the bad news is addressed with the audience using a straightforward approach.
  • Post the message the support is the third component - While supporting the bad news, additional information is given to explain why a certain call or decision was made and also how the bad news will have an impact on recipients of the message.
  • Alternatives are the fourth component - When the bad news is being communicated it helios to make the message little soft by giving alternatives and other options. This brings the understanding of the inconvenience and problems the recipient might face due to the situation.
  • The closure is the last component: While ending the message it is important to have a tone where the message is given in an affirmative manner and to ensure overall positivity.

Part B)

  • The message is structured because it conveys an unpleasant situation and can create chaos if not delivered int the right manner.
  • The information is likely to disappoint, upset or in some cases anger the recipient. Such indirect and negative messages need to be structured to mitigate the reactions.
  • Bad news can include rejections to job applications, negative assessment and also announcement of policy changes like lockdown during COVID - 2019 and hence since it doesn't benefit the reader it needs to be well planned and structured.
  • It is important to have a neutral or a litter positive statement to begin and then disclose the negative aspect of the information. This indirect approach helps bring order and offer solutions to the problem.
