Plan the Meeting

Effective meetings that produce results begin with planning a meeting. First, identify the members that are required to assist team in planning the meeting.

The goals team set will establish the agenda for an effective meeting.

Ensure that Meeting is required

Once meeting plan was developed, ensure that a meeting is an appropriate vehicle for achieving the targets. Scheduling and holding a meeting is expensive when you account for the time of the people attending, so make efforts to determine that a meeting is the best opportunity to solve the issues, improve the process, or make an ongoing plan.

One can accomplish the meeting goals with an email discussion or by distributing and requesting information through the company newsletter.

Ensure Appropriate Participation at the Meeting

If a meeting is the appropriate means to achieve team’s goals, check with the members who are required to attend the meeting in order to succeed. The needed team members must be available to attend the meeting.

It is better to postpone the meeting rather than holding a meeting without crucial team members. If a proxy attends in the place of a crucial decision maker, make sure the designated team member has the power to make decisions or postpone the meeting.

Identify the Goals of the Meeting

Don’t conduct a meeting unless there are specific targets to be achieved or else consider alternate ways to do the work, such as email and/or phone conference

Prepare & Distribute an Agenda

List out all the issues that are required to be covered during the meeting and the purpose for each issue and decide the time to be spent on each issue.

Distribute the agenda prior to conduct of the meeting.

I found that having multiple brains working toward the same problem/ issue/ goal was very beneficial. I know that being open-minded, cooperative and focused are important aspects of being a successful team member I feel more motivated when I work with a group. I enjoy the company with other people around me to bounce ideas off. I will enjoy that kind of experience while working together. I feel everyone has something different to contribute to an effort because we all come from such diverse backgrounds.
