When and how ?

(a) The data flow diagrams are used to represent flow of data in a business information system. This gives an idea to know exact flow of data which helps in data analysis.

a DFD components are:- Entity, process, data storage, input/ output , data flow.

Identify input, output, entity , process and then draw it graphically using the components of DFD.

(b) When we want to capture dynamic behaviour of organisational system, then activity diagram is used. It shows message flow from one activity to another.In modelling business requirements activity diagrams are frequently used.  It tells us the parallel, branched and concurrent flow of organisational system.

To draw activity diagram we need to identify :- activities, association conditions and constraints. A mental layout of entire flow is designed then this is converted into activity diagram .
