1) Project management communication plan is an important tool to help communicate effectively with different stakeholders in a project like client, team members etc. It helps to clearly define the flow of information and assign responsibilities for individuals. Below are the steps to set up communication plan:
a. Prepare list of communication needs = For different projects, the communication needs are different. It depends a lot on the project size, team size, location of members etc.
b. Set up purpose = The communication channel must have set purpose which may be via meeting or email. Every communication must list down the purpose and agenda clearly before communicating with others
c. Choose communication method = It depends on the urgency and importance of message. If the discussion is on requirement change, then team meeting is important. If only status update is required on activity, then email can work
d. Ste up communication frequency = It is very important in a project for members to be connected. Thus, communication frequency must be defined to keep all members engaged and aligned
e. Assigning ownership = The communication alignment must be assigned to an individual. Like project manager, someone must be responsible to keep the team connected and ensure proper communication
