A lot of paper is wasted, for instance, on print jobs that no one claims. Identify one of these practices and write an unsolicited internal proposal to your supervisor that outlines your plan to reduce the amount of waste and save your company money.

Develop a response that includes examples and evidence to support your ideas, and which clearly communicates the required message to your audience. Organize your response in a clear and logical manner as appropriate for the genre of writing. Use well-structured sentences, audience-appropriate language, and correct conventions of standard American English.

* Problem -

The printer of our company is very old having very less functions or the basic functions only. It has no manual option available to change the brightness of print out in different degrees or scales ( only default high & low option are available ), also it is simplex and no two documents can be printed on the single page by using both of its sides.

* Recommendations -

By installing the new & multifunctional printer in our company would be beneficial in terms of cost optimization as well as the time saving. It would enable company to save a single page per two documents printout by printing on both sides of the paper also it would save the wastage of papers due to the printing quality & brightness errors cause by our current printer, which in turn would save a lot of cost.

* Plans -

  • Do Market Research to find out what strategies our competitors are using.
  • Conduct a meeting with the IT team to convey this information through notice & if any one has issue with this idea then to resolve it.
  • Purchase a new duplex & multifunctional printer
  • Float a policy to employees to use a new printer & teach them about some new function option.

*Benefits -

Cost Saving , It also improves or supports the company environment friendly practices, saving unnecessary time wastage due to operating old & unreliable printer.

* Possible Hindrances to change -

Some employees may object against this but by arranging a meeting & completely understanding them about our policies & the benefits associated with it by adhering to them.

There is initial cost of the printer and the time spare in making the employee understand about the new function, but subsequent 1 month will setoff all cost & start to get benefit.
