Discuss the differences between Excel and Access, when you would use one over the other and how/when you can use them together to achieve a goal.
Part 1. Differences
Excel | Access |
1. It is basically used as a spreadsheet which has in bulit rows and columns where we can create charts , graphs and perform calculations | 1. It is basically used as database management system where we could analyze large amounts of information. |
2. Excel provides us worksheets which are flexible and also non relational. | 2. Access is more rigid than excel in terms fo how we use it and it provides tables that are relational. |
3. Storage capacity is quite low compared to access. | 3. Storage capacity is quite high as it is a database management system |
Part 2.
Access and excel cater to different needs , excel is more useful for financial analysts and statistical analysts whereas access is more useful for business owners. The data which can be stored in a single excel sheet is limited whereas access can handle larger volume of data so unless if you work on larger amounts of data excel is more easy to learn and adapt and also least programming knowledge is required whereas access is not so easy to adapt and requires programming language.
Part 3.
Using Excel and Access together :
1. If we would want to use excel but also require features of access then we can use access link , using this you can create reports in read only forms in access.
2. Data can be copied and moved to access seamlessly and also not required to create a new datasheet access would do it automatically.
3. Setting up a connection is also quite easy and when you create connection in Excel to Access database we can automatically update excel from Access database.
