Read the objectives, scenario and assumptions for Case Study 2: The Remote Health Information Management Department in Appendix E. Complete the deliverables (# 3 and #4) as instructed below:

  1. Using the functions you stated could be worked remotely (coding, ROI coordinators, data quality analysts and HIM managers and supervisors). Take each function you stated and develop a procedure and policy on how to evaluate the quality and quantity of work, the frequency of monitoring the work and the outcomes if the employee performs below the standards expected from the remote position. What criteria would have to be met to be considered for a remote position? Refer to the template for job procedures in Chapter 2.
  2. Create a training manual and plan that will aid in guiding the selected employees to work remotely. Outline all key factors that need to be included within the training manual based on best practices for remote workers. Create a PowerPoint presentation of no more than 15 slides to present the training outline and objectives. Remember to include a timetable for the training. Cite your resources using APA format.

Procedure and policy on how to evaluate the quality and quantity of work, the frequency of monitoring the work and the outcomes if the employee performs below the standards expected from the remote position.

The quality and quantity of work to be accomplished over a remote location, company would be using a tool that would ease the communication process and that would help in sharing of the information and documents associated with the communication process over the tool on a real time basis using which the communication would be carried out. Over this communication tool, coding department would be allotted with the target and the document associated with the quality standards would be circulated among the relevant stakeholders. Similarly, the tasks of the ROI coordinators, data quality analyst and HIM managers and supervisors would be managed and analysed over the virtual communication tool.

The frequency of monitoring the work of the stake holders would be on a daily basis for the Coding department and for ROI coordinators and data quality analyst while the tasks of the HIM managers and supervisors would be analysed on weekly basis.

If these employees perform below the standards expected, then managers and supervisors will be asked to identify the problem associated with their performances and then the particular stakeholder will be provided with the needed training and development module for the area in which the individual is lacking.

Criteria that are required to be met for a remote position are:

1. The stakeholders working over the remote position should be well acquainted with all the features of the communication tool

2. Stakeholders should effectively use tool to report their work and queries related to the work over the tool.

3. Confidentiality of the information being shared over the tool should be maintained by all of the stakeholders who communicate over the tool.

Training manual and plan would include the following criteria:

1. Introduction of the task

2. Technical knowhow of the task

3. Risks involved in the tasks

4. Standards to be followed while performing over the task

5. Technical knowledge of the communication tool that would be used to manage the task remotely.

6. Principles of management of the task over the communication tool.

7. Training on reporting over the communication tool

8. Quality control and grievance resolution over the communication tool.
