Re: A solution that demonstrates improvement to business etiquette and audience sensitivity.

This memorandum has been written in reply to your request for a solution that demonstrates improvement to business etiquette and audience sensitivity. This was required with respect to the email notifications that was being sent to the customers through the company’s Information Technology Department characterizing them as late, inconsistent and not having pertinent shipping information.

Here the major requirement is good problem solving skills and a proper working problem solving technique. This would begin with the defining of what exactly our problem is and finding or listing the alternatives for this. All these alternatives should be learned from every aspect so as to pre consider why it won’t work also. One of the major problem solving technique that I would recommend here would be the Six Thinking Hats, whih as the name suggests include the employees from the entity to think about the alternatives for the problem helping to consider or see the problem from different angles or sides. This would help us change the focus each time and understand exactly why a particular idea would not work.

But one important point that should be addressed here while trying to come up with alternatives or solutions would be that, this part is such that it calls for the importance of business etiquette and audience sensitivity as this mail would be directly conversing with the customer. So let us consider one problem here which is the customer not having pertinent shipping information, this would be an appropriate way of letting them know this through an email.

“Hey John (Suppose the customer name is John),

It seems your order is stuck in the dock as she can’t find your right address. Could you help her find you by rechecking the address and making it more simple and understandable for her?

She is waiting to hear from you.

Thank you in Advance.”
