In: Operations Management
Part of being an effective project manager is communication and representing the interests of the different stakeholders regarding the project. Stakeholder interests can often fluctuate during a life cycle of the project. Maintaining contact and effective communication with all stakeholders is vitally important to successful conclusion of a project.
Address stakeholder needs in a progress report that will be sent to the client team by addressing the following items:
Address the needs of different project stakeholders
Restate the mission and purpose of the project
Recap what has been agreed upon for this project in order to minimize scope creep
The key element in the project management is to manage the expectations of the stakeholder. This must be performed within the reach of the project’s scope. A scope document can be designed for this which will prove helpful for the stakeholders to understand what is to be expected during the progress of the project’s course. This project plan is a telecommunication project plan which will define the expectations of the stakeholders more professionally. This paper will provide guidance on managing the expectations of the stakeholders via project scope document.
Telecommunication Project Plan
Planning is the most important aspect of a project. If there is no proper planning and strategic approach taken then the project will be doomed from conception. This plan is a brief plan mainly focused on the essentials of the project planning. In order to describe an effective and efficient means to improve and implement the telecommunication capabilities of the organization, this project management plan is designed. In order to develop and implement a good telecommunication system the plan will include telecommunications project manager and a key assistant who will help in the project.
This plan will increase the communication capabilities of the organization exponentially by using varieties of electronic communication equipment and components. These advanced equipment and components of communication will be latest technology based equipment with high standards of speed and accuracy (Hartman&Ashrafi, 2004). This plan will also discuss various tasks needed to meet the requirements of the client, stakeholders and the organization itself.
Situational Analysis
The first task to be performed for developing a successful project management plan is to perform situational analysis. The situational analysis requires that the project manager confers with the leadership of the organization to ascertain the strategic requirements of the organization and specific telecommunications too. It is also required on the part of the project manager that he analysis the kind of telecommunication equipment and the feasibility of the equipment to be used with that of the organization (Cleland& Ireland, 1999).
For a successful plan it is also important that the project manager plan coordinates with the leadership and staff members. A successful project is only implemented if it fulfills the requirements of all the stakeholders, staff members and leaders. This project is required to be implemented with the coordination of staff members and leaders without affecting the current ongoing operations of the organization.
The situational analysis also includes determining the time taken by the project to complete, operational costs and the number of members in the project team required to complete the project effectively (Cleland& Ireland, 1999).These three components are necessary to be identified at the beginning stage of the project analysis for the successful completion of the project.
Define Project Objectives
The second step for a proper project plan involves the defining of mission and objectives for the project. The mission and objective here is the improvement and implementation of the telecommuter’s capability of organization. This objective is clear from the starting stage in this plan thus creating a base for the project. Also the scope of this project is organization wide.
Execution
The third task in the project plan is to develop the execution methodology. The execution methodology will contain the proper step by step design for the execution of the project. It will entail the establishment of different things required in the project completion including the chain command of the project team, departmentalization of the project team, specialization of project team, establishing the parameters for the budget of the project, than working within the parameters of the budget, establishing the requirements of the supplies and then making optimum utilization of the supplies in the most possible effective and efficient manner (Rad&Anantatmula, 2005).
This will likewise incorporate the foundation of a venture group standard working system, so that distinctive parts of the information transfers through the telecommunications’ execution are done in a composed way using the best possible group authorities, specialists, professionals and technicians.
If one conveys the deliverables of the project or the administration details during the execution of the project it is not possible to deal with the desires of the customers. To be fruitful, it is necessary to begin overseeing desires in the start of each customer solicitation. It is decent to have the capacity to take the snappy and simple way of simply examining an issue or solicitation with a customer and after that taking the necessary steps.
To secure the customer and the organization, time can be taken but the required objectives must be defined before the execution stage of the project. This will also not create any problems during the execution stage of the project and help in the success of this project.
Support Personnel
In this task of the project management plan, the project manager is required to select the project team consisting of highly qualified professionals most profound in the area of telecommunications and specialists capable of gaining support for the staff of the company. They will provide their effective and necessary feedback to the staff members by giving criticism in the matter and how to execute successfully.
The support personnel work force ought to additionally incorporate people from outside offices that have mastery in telecommunications capabilities or are having appropriate knowledge in the project management. This will be extremely useful in helping the projectteam to finish this project with accuracy providing best results.
Communications/ Command
This is the final task of the project plan and is very important as without proper communication among the project team members, the completion of a project is not possible. This task will require the involvement of the project manager and will demand the establishment of effective and reliable communications methodologies within the team members.
These methodologies may include the uses of e-mails, telephones, communication through teleconferencing, hands on supervision, walkie-talkies in the premises of the organization and video conferencing while communicating in the non-working hours. This also includes maintaining a proper communication with the leaders of the organization and informing them regularly about the progress of the project through face-to-face meetings, e-mail, telephone and teleconferencing (Haughey, 2015).
