Organizational communication settings can be simply means that prescribed system for sending and receiving messages through face to face and written.every organization must follow a particular style of communication for convey messages properly.communication barriers make many problems lead to failing of operations and making financial burden also.

Email is important method which commonly using for share everything in the organisations.becouse of its speed accessibility .it is very helpful in business world.

Advantages of Email

1.cheap:it is very cheap and based on distance and people

2.fast: it will receive quickly in perfect condition

3.convenient :it is encrypted and stored until receiver read it

4.permenent : Email can be stored for a long time

Dis-advantages of Email

1.spam

2.storage problems on large attachments

3.viruses

When is email the appropriate form of communication to use

1.when a person who cant be touch with telephone and any other medians to connect and touch some one who in different location and time zone

2.Sending electronic file such as document ,spreadsheet with full of data or a rough draft

3. Memo sharing:if want share a message to large number of people Emailing is a good option like memo sharing

4.written record of the communication. Saving important emails can be helpful if you need to refer back to what someone said in an earlier message, provide some kind of proof

When is email NOT an appropriate form of communication to use

1.when Messages complicated and important to share face to face like feedback from supervisors about job

2.The information highly confidential because email cant be protect from hackers and security is not strong to keep important data

3.message is emotionally charged or the tone of the massage could misconstrued

4.messages require immediate action cant be sent by Emails

in the above situations Email is not perfect to communicate.so thise situations are not a good time to use email
