To respond other's writing we must have an efficient writing skills in order to impress the writer which results in constant interaction between us positively in future.
For me, respond to the writer must be necessary in the field of effective communication which must be respectful, honest and specific. My goals of response are :-
I would always remain positive in my response to the writer in such a way that I only analyse the writing, not the writer. For example :- it is wrong to say that "you are not good in grammer..." The right thing is "the language really can't work for me..."
I will write on my own views about the case by using many phrases like 'I used to be', 'according to me', etc.
I would be very specific to the topic of discussion and will never hurt the feelings of the writer.
I would be honest to the writer and will reply him/her in a respectful manner so that the writer will feel confident to write for me again in future when there is a need.
I will always ask questions rather than giving suggestions to the writer, to make him/her feel that he is superior than me.
I respond to their writing because my response make him/her feel that I am seriously concern about the issue of discussion. And through my respond any kind of issue mentioned in the writing of the writer can be solved through writing communication.
To start responding to other's writing :-
I have to first analyse that what the writer wants to convey through his/her writing. Is it personal or professional?
After that I have to analyse what type of responses I would have to provide to writer in honest, respectful and specific way.
Then I would have to draft the respond roughly on paper in which judgement and improvement about the writing must not be there. I should use phrases like 'I used to be' , 'I found that...', etc.
Then I would have to prepare a proper respond which must have to be decoded to the writer on time.
I need to look for :-
What the writer is conveying,
On which topic the writer is writing about, either it is personal or professional?
Then I should draft a rough note in order to respond to the writer in a specific manner
I will only analyse the writing, not the writer.
To impress the writer, use of sample statement like 'I felt that....', 'in my opinion....', etc must be used so that the risk of hurting the feelings of writer will minimized.
Always avoid to suggest the writer, only try to ask questions regarding the topic of discussion.
