The issue is regarding providing an IT service to our customer. To be precise it was professional Email Service.
The customer after learning about all the technical details was ready to move his professional E-mail services from the current vendor to our company.
He actually paid an amount of 14,000for the services. Once the set up started, our technical team informed him about the details needed which he provided from his end.
Now, our technical team needed the control panel details and also needed the existing vendor to delete the existing Email service.
However, the customer started complaining that we are making things difficult for him by asking a lot of details.
After following up 3-4 times, we didn't get much response from the customer and we could never set up those Email Services.
Ethically, the customer had paid us the amount and we should have made sure that he get those services which we couldn't.
The thing that we could have done differently is we should have met him personally, showing him the problem in set up. Thus we could have spoken to the existing vendor and solve the issue which never happened.
Eventually, customer had to face the loss of 14,000 bucks.
In general, we should follow these ethical practices -
1. Before taking any order, you should discuss properly about what data you will need.
2. Keep following up even after the payment has been done.
3. Listen to the complaints made by customer effectively.
4. If you cannot complete the order, you should give back the order amount.
5. Always apologize for your professional mistakes.
