For this assignment you will need to understand the concepts of the: Project charter, stakeholder analysis and communication planning, scope planning, schedule management and uncertainties in project schedules.

Your company had received a tender to support a French film crew in the town of Sojwe in Botswana.

 You will need to collect and deliver the crew from and to the King Shaka International airport.

 The film crew will bring their own filming equipment.

 The film crew consists of 15 members.

 They will be onsite at the location for 2 weeks.

 You will have two weeks to do the planning and traveling.

 The support team needs to be at the identified location for the deployment.

 The deployment need to be self-sustainable for 2 weeks.

1. Project Charter [20] marks

You need to develop a project charter for the above-mentioned project. The project charter needs to include the following:

 The typical elements of a project charter.

 The project concept.

 The initiation of the project.

2. Stakeholder Analysis and Communication Planning [20] marks

1​ PROJECT CHARTER

  • Project name - French film crew
  • Project place - Botswana
  • Project description- To receive the members of the film crew at the airport and to check for all their arrangement to be done.
  • Scope- To support the film crew team till they are in the town in implementing their work to be done and to see all their arrnagement to be done, as this is what the tender is which our company recieves which in tturn will be beneficial for our company to recives more such tenders in future on its successful completion.
  • Elements of the project- - To arrange for the transport to receive the team of the film crew from the airport as well as transport for their equipment which they are bringing along. - To provide them with all the necessary onsite arrrangement for 2 weeks i.e proper accomodation, fooding, traveeling facility. - To provide them with the roadmap for their planning and travelling for these 2 weeks. - To provide them the information for the location which they are seeking foe deployment. - To provide them with all the necessary deployment needs which they require in completions of their task.
  • Project concept - This project concept is further divide into three parts as planning, organising and implementation. let us study all these in details   (i) PLANNING- This part of planning the project comprise of the roadmap to be prepared by the person who is handling the project which mainly comprise of all the planning regarding the project and to collect all the necessary information required like here the project is of a film crew for whom the company have to provide with all the arrangement from picking them up from airport to their lodging, fooding and their onsite location arrangement for which the company has assigned the project to the person who have to see all the arrangement he has to plan the transportation source for their member as well as equipments and also plan how he can provide with basic facility of fooding and lodging onsite to alll the members and also he need to collect first the information about the location to provide the same to the company and for all this he all have to do is necessary planning and to collect the necessary information to organise its plan. (ii) ORGANISING- After planning the next task of the project manager is to organise the things according to the plan made by him/her like here, the manager have to organise first for the transport for the members to recieve them from airport and also to organise the transport for their equipment and to organise for their accomdation and fooding and other basic amenities onsite at their location and to organise for all the neccessities for their location deployment for 2 weeks and also for their travelling. (iii) IMPLEMENTATION- The last step in this project concept is to implement all its organised planning like to go along at the airport to recieve them and itself check their with all the necessary arrangement then drop them at their onsite location and check on immeditely that they have been provide with all the facilities on time and as per their requirement and to check further time to time that all they need is satisfying them fully or they require anything else.

2. STAKEHOLDER ANALYSIS AND COMMUNICATION PLANNING-  

(I) DEVELOP THE PROJECT MANAGEMENT PLAN - Here the task is to develop the management project plan i.e to manage the project plan means the planning itself is not sufficient for the project plan its proper management is also necessary without the proper management no plan is plan and for properly managing the project plan the project manager have to follow further some of the below mentioned steps

  • To divide the task into small components in order to exsiquite them properly.
  • Then hire a small team under the given project in order to assign each member a particular task  
  • After hiring a team assign them the particular task to each member in order to execute the task.
  • Give all the necessary instruction to the assigned team members in order of the proper execution of the task.
  • To check on all the lopeholes in the whole project.

(ii) DEVELOP COMMUNICATION PLAN- Her e the project manager have to develop the necessary communication plan in order to interact with all its team member and also to check on the progress of its project plan.

  • All the project team member should be timely communicated with the further instruction to be followed
  • They should be instructed to provide the manager with the necessary feedback regarding its execution of the assigned task.
  • The project manager itself try to communicate directly face to face with its team as well as with the assigned project elements
  • They should try to avoid indirect communication in order to avoid any dispute.

(iii) IDENTIFY POSSIBLE COMMUNICATION TECHNOLOGIES FOR THE PROJECT- The communication techniques can be both direct communication and indirect communication technology further it comprise of the following

Direct communication is the communication were the sender and reciever of the information send and recieve communication directly like the sender sender sends the data and it is immediately recieved by the the reciever. futher it can be said to be the face to face communication is the most common and direct form of it another it can be telephonic

Indirect communication further include the indirect form were the sender and reciever doesnt comes in the direct contact further they recieves the data through the mediator like an email , a text message , a letter etc her this kind many a times creates confusion to so the manager should try to avoid all the barriers and try to choose the best possible way to communicate.

3. SCOPE PLANNING-

(I) DEFINE THE SCOPE FOR THE PROJECT - The scope means the profits and opportunity the company will recieves in future with the successful execution of the given project. the manager should gives its best in order to execute the project in the best possible way inorder to enhance the image and goodwill of the company for future and the company should recieves further more projects like these.

(ii) DEFINE THE HUMAN RESORCES NEEDED FOR THE PROJECT-

  • The project itself determines its demand of the human resources in order to get executed because no single person can execute it without the help of its team menber
  • the manger should divide the task into small components.
  • After dividing the task the manager should hire a small team to assign them each task.
  • After hiring the team the manager assign them their duties
  • The manager should hire the eligible personal

(iii) ASSIGNING RESPONSIBILITY- Assigning responsibility means to allot the hired human resources with the eligible task accordind to their capabity and eligibility.

  • Assigning their duties not just with the goal of its completion but try them to complete it in their best possible way.
  • Each member should be qualified in order to handle the assigned responsibility.
  • Duties should be assigned according to the eligibility of each team member
  • Assigning responsibility should comprise of also motivating them in order to get the best possible result from their completion of assigned task.
