Imagine you work as a cashier at Rio Salado College in the Cashier's Office. Your job includes processing refund checks for students who drop their courses. Per the Refunds Web site, 100% refunds are allowed only within the first 7 calendar days for a 14-week class. You have received the following email request from a student and need to send a letter responding to the student.

My name is Omar Palacio, and I am requesting a full refund of my tuition. I enrolled in MKT110 (a 14-week course) with a start date of March 5. Although I may be beyond the full-refund window, I deserve a full refund because I can't finish the course. I recently received a promotion at work, and my schedule is now too busy to attend school. Please send my full refund check to my home address.

Body :I will use effective Techniques to convey Mr. Omar that Full refund is not Possible, explained here as under-

  • I will start by Congratulating Mr. Omar, For his Promotion at work.
  • Explain the facts to him, that He enrolled for MKT110( a 14 Week Course) with a start date of March 5, and Infoming us by writting letter on march 19, means after 14 days.
  • We have nothing to do with it, if he couldn't Finish the Course, due to his Promotion at work and Busy Schedule.
  • why didn't he informed us, within seven days of his starting date of march 5.
  • We have a Clear Policy for refunds.As per the Refunds Web site, 100% refunds are allowed only within the first 7 calendar days for a 14-week class. he informed us after double Time i.e 14 days. it is against the Company Policy to Provide full refund.
  • We never had a Practice for Unruly refunds, and he should not ask for it.
  • To Provide Omar some Consolation, i will further write that he is still eligible for Partial Refund, as per the Policy, so no need to disappoint.

Conclusion : I will Conclude the letter, that in the light of the facts, we can't Provide Full Refund to Mr. Omar in any Condition, but we can Provide him Partial Refund, as per the Policy.
