1 You are appointed as a Contract Manager for an Employer who will be inviting competitive
tenders for a new project. You have been asked to assist the Tender Team in
terms of Contract Structure and documentation.
You have been requested to prepare PRELIMINARY ENQUIRY FOR INVITATION TO TENDER
as this is applicable where the JCT Standard Form of Building Contract, Intermediate Form
of Building Contract or Agreement for Minor Building Works is to be used. You are
required to follow principles of NJCC (the National Joint Consultative Committee for
Building UK) and CIB (Construction Industry Board) Code of Procedures for single stage
selective tendering.
You have included the necessary questions or tile for required information, but the replies
have been received in a different format.. What action do you take, and why?

Ans ) In construction for every report there will be a separate standards and document formats will available. We have to follow all the instruction while submitting a tender. And after preparation of the preliminary enquiry in a standard format we call for tenders. But here comes the trick part of the whole procedure i.e, even if we send the standard format to them they do not sent the same in prescribed format because of lot of reasons such as they might not know they have to revert the same with filled ones and it is not possible in all the cases and some may do in careless manner.

When comes the action firstly I will intimate them to sent the quote in the standard format. If they sent and respond with in the time I will consider them for further process If not I will reject there quote and not allowed them to proceed for further process and not in any other tenders. Following the rules and regulation is for more important than any other in the industry. Because even though I have mentioned in the instructions that they should reply back to the same file but they didn’t ? then what is the dedication they done to me. At earlier stages only they behave like in this way then once they awarded the project what if they do not follow my instructions. And one more reason is maintaining the proper records is very important to avoid Audit issues.
