1.The International University of management is about to move to a new release of an ERP system which will be installed on a server located at the main Campus, which will then distribute services to other Campuses. The new release has taken many months to develop and will provide an improved understanding of how the University is managed. The University’s management is considering the following two methods of changeover:
Direct changeover
Phased changeover
(a)Write a report to the management which compares the two changeover methods being considered.[15
](b)Identify the changeover method you would recommend and provide the reasons why you would select that method. [5]
2.Discuss Fivestepsthat organizations should take into account for a successful software implementation [20]
Total Mark = 40Marks
lets see the answer :-
The basic common steps in both direct changeover and
phased changeover methods will be as follows:-
Prepare a list of expert employees which can adapt quickly for the
system under deliberation.
Planning for management functions of the management.
A monitoring phase with different validity check phases to ensure no major disruptions and record unexpected minor disruptions.
For ease of employees the course of conduct for employees and specialized support staff.
A trial phase which can occur before or after the information about the change has percolated throughout the organization.
A failsafe or contingency plan in the transition encounters a
major error. And backups of the business data must be created
before the transition, along with a backup strategy.
answer a)
Direct changeover:-
Its benefits and disadvantages:
When direct changeover is in the entire organization the entire organisation migrates to a new functioning system by a specified date. The transition is very sudden and may be not comfortable for all employees.
Either in free form format. Or pointwise as is done in point wise topics.
The total time required will be shorter but there is risk of
business process disruption.
Phased changeover:-
Its benefits and disadvantages:
When phased changeover is adapted in the entire organization the organisation migrates to a new functioning system without completely abandoning/changing the old system on a set date. The transition is gradual.
Either in free form format. Or pointwise as is done in elementary topics.
The time will be shorter but there is no risk of business process disruption.
answer b)
The changeover method will be Phased adoption.
The planning phase and product transition phase will be friction free and risk of database corruption or business process disruption will be completely eliminated.
from above (answer a) we have seen advantages and disadvantages so we have better understanding which changeover is better.
On the basis of this points we can understand why phased
adaptation is better:
answer 2)
Five steps that organizations should take into account for a successful software implementation are :-
1.Build a business case
Bilding a business case involve all the business realted information like risk business problem or opportunity benifits costs including investment etc.
2.Choose a trustworthy vendor partner
After the first step the second step is choosing a appropriate vender.Choosing a vendor is not as simple while choosing vender and clearing the needs should be cleared.
3.Prevent scope creep
The single most important thing to avoid scope creep on your project is to document your requirements. Go through all the project stakeholders and users to work out exactly what they want from the project. note it down.Prioritize requirements, as it may not be possible to do them all.
4.Assemble the right team
The team you put together is crucial to your software implementation success.
the software implementation team may include the following members:-
Project owner
Project manager
System administrator
Superstar end user
Members from core departments
5.Drive user adoption
over time the system need to be changes so over time it should be adaptive
