Case study Project planning stage is the most challenging phase for a project manager. Managers need to make an educated guess about resources needed to complete the project. A project manager need to also plan and establish communications and procurement activities, in addition he or she need to contract suppliers. Select any project that you like (i.e. stating any type of business). This is NOT a paper style of case. You are to report the following issues as titles and list under each your plan. You are to go through the following steps: Establish business requirements, vision, mission, goals, and objectives Establish cost, schedule, list of deliverables, and delivery dates Establish resources plans (people, equipment, information, $) Obtain management approval and proceed to the next phase (what approvals you might need to go forward such as: stakeholders, board of directors, governmental..etc.) The basic processes of project planning are (select at least 4 of the following and explain):

Scope planning – specifying the in-scope requirements for the project to facilitate creating the work breakdown structure Preparation of the work breakdown structure – spelling out the breakdown of the project into tasks and sub-tasks Project schedule development – listing the entire schedule of the activities and detailing their sequence of implementation Resource planning – indicating who will do what work, at which time, and if any special skills are needed to accomplish the project tasks Budget planning – specifying the budgeted cost to be incurred at the completion of the project Procurement planning – focusing on vendors outside your company and subcontracting Risk management – planning for possible risks and considering optional contingency plans and mitigation strategies Quality planning – assessing quality criteria to be used for the project Communication planning – designing the communication strategy with all project stakeholders At the end, explain why you think the business you selected will succeed.

Work Breakdown Structure is Phase Oriented WBS.

a: In-scope requirements :

i. Deliverable is of 1 GB of Case Data = 10000 Documents.

ii. Including 10 Custodians diving documents.

iii. File types are word, excel, ppt, email, jpg.

iv. Platform/tool – EDRM tool (Document Review).

b: Deliverable will in three phases:

i. Phase I after 15days including 3 thousand documents;

The task is as follows:

d: Schedule of Activities:

i. By Manager: interacting with the clients, understanding client requirements, and taking feedbacks.

ii. Team Lead: Managing team and productivity to achieve targets.

iii. By Senior Associates: Performing Quality Checks and Quality Assurances to provide good quality work product.

iv. By Associates: Performing Document Review at the ground level.

2. Resource Plan:

i. 20 Document Reviewers to review 3 thousand documents in early one week of each phase;

ii. 2 Senior Associates to perform QC and QA of the reviewed documents in 3 days;

iii. A Team Lead to manage team members; and

iv. A Manager to perform final checks in the last 2 days of the phase and send work product to the client.

3. Quality Plan :

i. By initiating Completeness and Correctness criteria to maintain quality standards of the work.

ii. Implementing Quality standards;

iii. Making a quality process such as Sample Review by the client;

iv. Performing Root Cause analysis of defects;

v. Making Standard Operating Procedures for maintaining quality standards with client approvals; and

vi. Providing six sigma training to the Senior Associates and above.

4. Communication Plan: Communication Strategy

i. Communicate with the project stakeholders including internal and external stakeholders such as Company’s directors and the client.

ii. Communicate regarding Management information system reports, taking feedbacks from the client, and making project deliverables.

iii. Communication happens through emails or video conferences.

iv. Communicating formally and politely.
