It has always been a pleasure working with you. I am glad to work as your co-ordinate.

I wanted to reach out to you for seeking your attention on the decision regarding Mail response system for ABC Retailers. As presently in ABC Retailers, all the mails are being responded by the personnel; which consumes significant amount of time and resources. These time and resources can be diverted towards more productive activities. Moreover, sometimes due to extreme flow of mails, some of the mails get delayed to respond.

In replacement of this present mail response system, I would like to suggest you to consider installation of “Automatic Mail-response system”. Installation of this proposed system would no longer require the personnel to respond to the mails manually. All the mails will be responded/replied automatically as and when the mails are received using pre-designed templates. Thus, it will nullify the chances of delay in the response of mails.

The cost benefit analysis of the proposed system is elaborated as follow:
