One of the best memorable event in every student's and parents life is the graduation ceremony.Every one is over whelming and excited about graduation because we have been with them for long years together in sharing knowledge and personal things there are so many things that shared together.When the graduation day approach the number of emotions that are expressed on that day is unbelievable,students alomst share every emotion of their student life that they have experienced in every corner of the School/Universtiy.In order to organise the big event we should plan the event and drive successfull without any consequencies.

Planning a big event like graduation ceremony,needs more people and plan to make that event more successfull.This needs every one involvement and support in organising things to be happend in time.

  1. The main Tasks are : The main task involves with organising people and assigning the tasks to them as this requires lot of people involvement in organising the events seperately the head of the organising committe will selet the people who are excited and able to do task as guided.All departments are included in the event like Teachers/lecturers,administrative,security and Sound systems.
  2. The main task is to send the invitation to all the VIP's cheif guests,chairperson,parents,teachers and students.Need to print the formal invitaion both digital and physical invitaions.
  3. Stage arrangements like decoration of the stage and podium well arranged mike and speakers etc.,and numbers of cheif guests based on that we have to provide the chairs that are made availabe on the dias.It should not be crowded with all the people.There should be necessary arrangements needs to be made for VIP's,Chief guests,parents,teachers and students to sit.
  4. There should be one person available in welcoming the guest with flower bouquets and refreshments(mostly female is preffers) and make them to sit at desired locations.
  5. Select a well adddressed with good attire female speaker to address the cheif guest and crowd with a graduation script.
  6. Proper Script for all the programs needs to be maintained with the administrator and coordinator for well organised events.
  7. Caps and gowns along with medals are needs to be made available and the candidates selected for the graduation ceremony are made available based on their order called to avoid confussion.
  8. Proper security should be given to VIP's and cheif guest in oder to avoid inconveninece to them,As most of the crowd is present at the location we can ensure the security to all.

Tasks should be divided to every individual to make the event more successfull based on the events tasks shoud be shared.

  1. Sub-Tasks are : Coordinaters are selected to make well arrangements like seating and guiding the visitors to sit at their desired locations
  2. Refreshments and snacks are provided to all the visitors by going to their places.
  3. If there are any issues occurs there should be a quick respond team to react the issue and avoid disturbence to others.
  4. Sound and other technical issues resolved team shoud be available at the event to solve all technical issues.
  5. There should be escort team to escort the VIP's to their designated seating.
  6. A seperate team should be available to handover the things like gifts,bouquet etc., to the people who are on the dias.
  7. Coordinate the members and guide the members one by one to the dias in order to avoid the heavy crowd on the dias.
  8. Food and other stuff are maintained to maintain hygienic and packed properly.
