Write at least two pages single spaced with sources on a Paperless office – benefits and drawbacks and Video conferencing and telepresence and how that is incorporated in reducing and recycling in corporate groups.
Benefits of Paperless office-
- less space in the office is occupied as keeping data on paper needs big files which occupy a lot of space.
- It becomes easy to communicate through emails and electronic faxes instead of writing and shipping documents that is time and money taking process.
- Purchasing paper is also a costly affair and going paperless will dimish that cost of the office.
- The storing and searching of data becomes easy if it is electronically saved than depending on paper for saving and searching of past data
- having the data saved electronically helps the employee to work remotely and makes the data easily accessible whenever required. Heavy files have not to be carried for the purpose.
- it is a environment friendly practice as use of paper is harmful for the green environment.
Drawbacks of paperless office-
- As all the data will be electronically saved the systems' hardware and software will have to be kept updates and upgraded
-The dependency on an IT person will be more and one will have to be hired at all times which will add up cost of his salary.
- regular backups will be required for saving the data else chances of losing it will be high.
- data will have to kept in the system with high security as the system may be used by more than one person and data can be accessible to all.
- working paperless and through ditigal and electronic equipments need proper traning and some employees working on old patterns for a longer time would not be ready for this change.
- errors happning in electronically saved data is difficult to retrive like sending wrong data to wrong person, naming a file in the system wrong or improper scanning or saving data.
Video conferencing and telepresence is the alternative to face to face interaction of employees for discussions and meetings. It also helps to avoid use of paper in communication through letters and notes. The person can be available to communicate through a video where he can express himself and listen to the other side too. It makes him feel physically present in the meeting or discussion being held by connecting through video conferencing or telepresence. This process reduces the travel cost of the person who otherwise would had to travel all the way to be physically present in the meeting and such practices help in less use of paper which helps in recyling of waste and make environment healthier.
