Asha is travelling to rural Texas to speak with shipping managers of a new bar-coding system to track contents for deliveries. She will be speaking to managers who will then share the information with staff, and then she will move to the next shipping building. Asha is nervous and calls superior, you, and asks how she can help ensure her message is effective and taken positively.

Consider what you know about AIM analysis; provide insight on things Asha needs to consider when developing her message. Answers should be broken down as follows:

a) Suggestions on starting with “A”
b) How she can be effective with “I”
c) And considerations for “M”.
d) Finally, after your AIM analysis, explain which section you feel is the MOST SIGNIFICANT part of AIM (minimum three-sentence explanation).

Solutions

Expert Solution

AIM analysis is used for crafting effective business messages.

· A- stands for audience analysis- In this scenario, her audience is the shipping managers. The requirements of the shipping managers are first analyzed. Asha should know how the new bar-coding system to track contents for deliveries should meet the shipping managers’ requirements.

· I- stands for Idea development- Asha should develop ideas as to how the new bar-coding system to track contents for deliveries would be greatly beneficial to the shipping managers. Innovative concepts need to be noted.

· M- stands for Message Structuring- Based on the above points, Asha should draft the speech effectively. The speech should first state the bottlenecks the shipping managers face and how the new bar-coding system to track contents for deliveries can benefit them. Then, other innovative ideas can be discussed making the meeting more interactive.

Among the above three factors, the one that is MOST SIGNIFICANT is identifying the audience’ needs. Audience analysis is critical before developing any message for communication. Audience requirements need to be identified and it is important that their needs are met based on the new bar-coding concept. Without this analysis, speech to the audience would be ineffective.
